This manual has been compiled in terms of the Promotion of Access to Information Act (PAIA) to provide clarity on the records we hold and the process for requesting access to information.

Information Act (PAIA), 2000, to provide guidance on how you can request access
to records held by Rynali Photography.

Rynali Photography holds records relevant to:
• Client bookings and contact details
• Photography session agreements and contracts
• Invoices, receipts, and payment records
• Digital images and galleries created during sessions
• Communications (emails, messages) related to services
4. How to Request Access
To request access to records, you must submit a written request to the Information
Officer including:
1. Your full name and contact details
2. Description of the record requested
3. Form of access required (e.g., printed copy, electronic copy)
4. Reason for request (optional for personal records)
5. Payment of any applicable fees
Requests will be processed in accordance with PAIA timelines.
5. Fees
• A request may require a prescribed fee as allowed under PAIA.
• You will be notified if a prescribed fee is required
6. Response Time
• Requests are usually responded to within 30 days of receipt.
• Complex requests may take longer, but you will be informed of the expected
timeline.
7. Grounds for Refusal
Access may be refused if:
• The record contains personal information about another person
• The record is legally privileged or confidential
• The request is frivolous or unreasonable
8. Appeals
If your request is denied, you may:
• Request a written explanation
• Lodge an internal appeal with the Information Officer
• Approach the Information Regulator if unsatisfied
9. Security & Privacy
• All records are stored securely in compliance with POPIA.
• Requests will not compromise the privacy or confidentiality of other clients.
